Privacy notice
Last updated 9 September 2026
This notice explains what happens to the documents and information you send when you use Your Own Junior. It is written to be read, not to be survived.
1. Who is responsible
Your Own Junior is operated by one person — a sole proprietor based in Türkiye (“we”, “us”). There is no company in between: whoever answers your email is the person doing the work. For anything in this notice, write to kerop@yourownjunior.com. A postal address is available on request.
All work is performed from Türkiye. This matters for your records, so it is stated plainly here rather than buried — see section 8 on where your data goes.
2. Our role: we work on your instructions
You decide what to send and what should happen to it. We act only on those instructions. In the language of data protection law, you are the controller of the information in the documents you send, and we are a processor acting for you. Under California law we are a service provider, not a third party that receives data for its own purposes.
Practically, that means we do not decide what to do with your clients’ information, we do not use it for anything other than the job you sent it for, and we do not keep it after you tell us to remove it.
3. What we handle
| What | Why we have it |
|---|---|
| Supplier invoices and similar documents you send (PDFs, scans, photographs, spreadsheets) | To read them and return finished bookkeeping entries. These documents may contain information about your clients and their suppliers — business names, addresses, account numbers, amounts, and occasionally an individual’s name or contact details. |
| Your chart of accounts | To suggest an account for each line from your own list rather than a generic one. |
| Correction you send back | To keep as a rule so that the same supplier line is coded your way next time. |
| Your name, email address, and what we agree about the work | To do the work, answer you, and invoice you. |
| QuickBooks Online connection, if you switch it on | To post bills into your book. The connection is authorised by you and can be withdrawn by you at any time from inside QuickBooks. |
| Basic, aggregate website statistics | To know whether anyone is reading the site. See section 6. |
We do not ask for and do not want: bank credentials, card numbers, payment authority, Social Security numbers, or tax return content. Nothing in the service requires them. If a document you send happens to contain one, it is handled under the same terms as everything else and is not used for anything.
4. What we never do with it
- We do not sell it, rent it, or share it for anyone else’s marketing. There is no advertising in this service.
- We do not use your documents, or your clients’ information, to train a publicly available AI model. The processing services we rely on are engaged under business terms that prohibit them from doing so with your content (section 5).
- We do not use one client’s documents to do another client’s work. Coding rules learned from your corrections apply to your account only.
- We do not access your accounting system beyond what you explicitly connect and authorise.
5. Who else touches the data
Doing this work involves a small number of established suppliers. Each is engaged under a business agreement, and each receives only what it needs:
| Supplier | What it does | What it sees |
|---|---|---|
| Microsoft Azure (Document Intelligence) | Reads the text and structure of a document | The documents you send |
| Anthropic, accessed through OpenRouter | Suggests a general ledger account for a line | Line descriptions and your chart of accounts — not the whole document |
| Mailgun (Sinch) | Receives batches sent to your dedicated address | Email and attachments in transit |
| Intuit (QuickBooks Online) | Receives bills, if you switch direct posting on | Only what is posted, and only with your authorisation |
| Cloudflare | Serves this website | Website visits only — no documents pass through it |
If we ever add or change a supplier that handles document content, this list is updated before the change takes effect, and existing clients are told.
6. The website itself
This site sets no cookies, runs no advertising trackers, and asks you for nothing. There is no login and no form. The only way to contact us from here is an email link.
We use a privacy-preserving analytics service that counts page views without cookies and without building a profile of you. It is not able to identify you, and nothing it collects is combined with client work.
7. How long we keep things
- Documents you send and the results: kept while the work is in progress and for a short period afterwards, so you can come back with a question or a correction. Deleted whenever you ask — including immediately after a batch is settled. If you ask for deletion, the documents, the extracted data, the rendered pages and the run records for that batch are removed.
- Coding rules from your corrections: kept for as long as you are a client, because that is what stops the same correction being needed twice. They hold a supplier line description and the account you chose — not the document. Removed on request or when you stop using the service.
- Invoices and business records: kept as long as tax law requires us to keep them.
- Emails between us: kept while the working relationship lasts.
Ask and it is done. Deletion is not a form to fill in or a queue to join. Write to kerop@yourownjunior.com and say what should go. You will get confirmation once it has been removed.
8. Where the data goes
The work is performed from Türkiye, and the suppliers in section 5 operate infrastructure in the United States and the European Union. If you are in the United States and your clients are in the United States, this means their information is accessed from outside the country while the work is done. That is normal for outsourced bookkeeping, and it is stated here so you can tell your own clients accurately if they ask.
Where information about people in the United Kingdom or the European Economic Area is involved, transfers rely on the standard contractual clauses published by the European Commission, which our suppliers incorporate into their terms.
9. If you prepare tax returns
Some of our clients are bookkeepers who also prepare tax returns, and are therefore subject to Internal Revenue Code §7216, which restricts what a return preparer may do with client information and who may see it. We are engaged as an auxiliary service provider assisting you with bookkeeping. Accordingly:
- We use information you send solely to perform the bookkeeping work you asked for, and for no other purpose.
- We do not disclose it to anyone except the suppliers in section 5, who are bound by equivalent confidentiality obligations.
- We are bound by these restrictions whether or not you send us a separate confidentiality agreement, and we will sign yours if your own compliance requires it.
- Deciding whether your particular arrangement needs client consent under §7216 is your call as the return preparer, and we will provide whatever documentation you need to make it.
10. Security
An honest description rather than a badge: access to client documents is limited to the owner of the business; connections to the site and to every supplier are encrypted in transit; API access to the working system requires a token; stored credentials and client records held by our own tools are encrypted at rest; documents are not stored on shared or public services.
We hold no independent security certification — no SOC 2, no ISO 27001 — and we will not claim one. If your own policy requires a certified sub-processor, this service does not meet that bar today, and it is better that you know that now than after signing.
If a security incident affects your data, you will be told promptly and directly, with what happened and what to do about it — not through a notice posted quietly on this page.
11. Your rights
Because we act on your instructions, most requests are simply handled by asking us. You can ask us to hand back a copy of what we hold for you, correct it, delete it, or stop processing it, and we will do so without charge.
If you are in California: we do not sell or share personal information as those terms are defined in the CCPA/CPRA, and we have never done so. If you are in the UK or EEA and believe your information has been mishandled, you may complain to your national supervisory authority; we would rather you came to us first so it can be put right.
Where an individual whose details appear inside a document you sent contacts us directly, we will point them to you, since you hold the relationship and the record — and we will tell you that they did.
12. Changes to this notice
If this notice changes in a way that affects what happens to your data, the date at the top changes and current clients are told by email before the change takes effect. Cosmetic corrections are made quietly.
13. Contact
Questions, requests, deletions, or a confidentiality agreement to sign: kerop@yourownjunior.com. A person reads it.
